2. Personal data we process

• Identity and contact: name, email address, phone number.
• Request details: translation direction, service and document type, requested delivery date, your message.
• Document content: the data contained in documents you send for translation.
• Security: IP address, browser and device information, time of submission.
• Billing: invoice details when you purchase a service.

Documents sent for translation may contain special categories of personal data, such as identity data, health data (e.g. medical reports) or criminal records.

3. Purposes

• Receiving and reviewing your quote requests and replying to you.
• Providing translation, notarisation and apostille services.
• Invoicing and meeting legal obligations.
• Keeping our systems secure and preventing misuse.

4. Legal grounds

• Necessity for entering into or performing a contract (KVKK Art. 5/2-c).
• Compliance with a legal obligation (Art. 5/2-ç).
• Establishing, exercising or defending a right (Art. 5/2-e).
• Our legitimate interests, provided your fundamental rights are not harmed (Art. 5/2-f).
• Your explicit consent for special categories of data in your documents (Art. 6).

5. How we collect data

Electronically, through the quote form on this website, by email and via WhatsApp.

6. Transfers

Your personal data may be shared only for the purposes above with:

• Notaries for certification, and competent public authorities for apostille.
• Competent public authorities where required by law.
• Our service providers, to the extent needed to deliver the service.

Transfers abroad: we use the following providers whose servers are located outside Türkiye:

• Vercel Inc. (USA): website hosting.
• Resend (USA-based, servers in Japan): delivery of quote form emails.
• Google LLC (Google Workspace): storage of email correspondence and received documents.
• WhatsApp / Meta Platforms: only if you choose to contact us on WhatsApp.

These transfers are made in line with the safeguards set out in KVKK Art. 9.

7. Retention

• Quote requests that do not become an order, and their attachments: deleted as soon as it is clear the request will not proceed.
• Translated documents: 1 year from delivery.
• Invoices and accounting records: for the period required by tax and commercial law.

At the end of these periods your data is deleted, destroyed or anonymised.

8. Your rights

Under KVKK Art. 11 you may ask us to:

• Confirm whether your personal data is processed and provide information about it.
• Tell you the purpose of processing and whether data is used accordingly.
• Identify third parties in Türkiye or abroad to whom data has been transferred.
• Correct incomplete or inaccurate data.
• Delete or destroy data under the conditions of KVKK Art. 7.
• Notify third parties of any correction, deletion or destruction.
• Object to an outcome against you that results solely from automated processing.
• Compensate damage arising from unlawful processing.
